Human Resources Coordinator
This is a full-time, 12-month, non-exempt position that reports to the Chief Human Resources Officer and is located at the Quincy Campus in Quincy, Illinois with some travel across all JWCC locations and service district. Position begins immediately.
JOB DESCRIPTION
John Wood Community College is seeking a detail-oriented, people-focused Human Resources Coordinator to join our HR team. This role supports the daily operations of the Human Resources Department and plays an essential part in advancing the College's goals related to employee engagement, benefits administration, compliance, and talent management. The ideal candidate is a strong communicator, highly organized, and committed to fostering a positive, inclusive, and supportive workplace culture.
KEY RESPONSIBILITIES
- Administer the College's employee benefit programs, including health, dental, vision, life insurance, and retirement plans.
- Serve as the primary contact for benefits-related questions, enrollment assistance, and claims resolution.
- Manage annual open enrollment, benefits orientations, and communications to ensure employees understand available options and deadlines.
- Support employee classification, compensation analysis, and job description development and review.
- Work with insurance carriers, brokers, and vendors to resolve benefit issues and maintain accurate, up-to-date records.
- Process benefit-related documentation and maintain accurate records in compliance with College policies and applicable regulations.
- Collaborate with payroll to ensure timely and accurate processing of benefit deductions and changes.
- Ensure accurate and timely processing of personnel actions and employment records.
- Support compliance with labor laws, accreditation standards, and institutional policies.
- Assist in planning and conducting professional development and training for employees and supervisors.
- Provide guidance to departments on best practices in performance management, employee recognition, and retention.
- Coordinate and track leaves of absence, including FMLA, personal leave, and disability, and communicate relevant information to employees and supervisors.
- Assist in the planning and execution of employee wellness programs and benefits-related training.
- Stay up to date on changes to benefits laws and regulations and assist in ensuring institutional compliance (e.g., ACA, COBRA, HIPAA).
- Complete WIOA reports/forms and ensure the College is in compliance with all regulations and requirements.
- Support the planning and implementation of employee wellness initiatives that promote physical, mental, and financial well-being.
- Assist the Human Resources Associate with recruitment and onboarding process for faculty, staff, and student employees as needed.
- Foster strong relationships with community partners, universities, and professional organizations to build a talent pipeline.
- Offer insights and recommendations for improving recruitment strategies based on data analysis.
- Assist with conducting probationary meetings with supervisors and employees.
- Provide support for other departmental functions and projects, including serving as backup for the Human Resources Associate or Human Resources Administrative Assistant when needed.
- Maintain confidentiality of all departmental and institutional information in accordance with the Privacy Act as well as established policies and procedures governing the release of information.
- Must exhibit highest professional integrity and ability to work confidentially with discretion.
- Ability to manage a high-volume workflow office and meet deadlines and goals.
- Must possess the ability to collaborate with diverse individuals, groups, and organizations.
- Must possess the ability to deal tactfully with faculty, staff, students and the community.
- Knowledge and understanding of administrative policies and procedures and the ability to interpret those policies and procedures.
- Ability to communicate effectively, both orally and in writing.
QUALIFICATIONS
Education:
- Associate's degree required; Bachelor's degree in Human Resources, Business Administration, or a related field preferred. Equivalent experience may be considered.
Experience:
- Minimum of two (2) years of progressive human resources experience.
- Experience in higher education or public institutions is a plus.
- Experience with HRIS systems and data reporting tools preferred.

Working Conditions:
- Primarily office-based with occasional travel for recruitment events and community outreach.
- Work in well-lit, ventilated office spaces, as well as across campus.
- Ability to sit, stand, bend, lift, and move intermittently throughout the workday.
- Subject to frequent interruptions and interaction with students, faculty, staff, and the public.
Work Schedule:
- Full-time position with a typical schedule of Monday-Thursday (8:00am – 5:00pm) and Friday (8:00am – 12:00pm).
- Flexibility to work beyond regular hours, including weekends and holidays, when necessary.
SALARY:
- This is a non-exempt position with an estimated hourly rate of $21.36 - $22.44.
